First-Year Housing Application Timeline

Welcome to the First-Year Housing application process!

Here, you’ll get acquainted with the timeline and tasks associated with our application process for incoming first-year students and transfer students. We have two timelines that meet the needs of a few different groups. Look to the buttons on the righthand side of the page to ensure you’re looking in the right place!

First-Year Housing Application

General Timeline

The First-Year Housing Application is divided into 3 distinct phases:

  • Introduction to Residence Life
  • Find Your Roommate (optional)
  • Choose Your Room and Meal Plan
Phase 1: Introduction to Residence Life

April 1 – May 19

Phase 1 of the First-Year Housing Application begins with the Residence Halls application opening for all incoming first-year students and transfer students. The application is available in the Residence Life Housing Portal, which is linked in students’ my.mines.edu accounts.

In Phase 1 of the application, student will:

  • Review the housing application timeline and its phases
  • Share their personal and emergency contact information
  • Review information about housing accommodations through Disability Support Services (DSS)
  • Review our Renter’s Insurance policy
  • Review a sample Housing Contract
  • Become acquainted with our on-campus communities, including:
    • Residence Halls
    • Gender Inclusive Housing
    • Signature Learning Communities (SLCs)
  • Indicate their room type preferences
  • Begin their Signature Learning Community application (optional) – due on May 5 @ 12:00PM!
Phase 2: Find Your Roommate (optional)

May 19 – June 10

In Phase 2 of the housing application, students will have the opportunity to return to their application and begin the roommate search process. Roommate selection is optional, and students are not required to participate in this process beyond creating a roommate profile (required).

In Phase 2 of the housing application, students will:

  • Create a roommate profile (required)
  • Learn about the roommate search system
  • Learn how to create a Roommate Group for room selection

Students who find roommates and create a Roommate Group will receive the same Room Selection Time Slot based on the roommate with the earliest enrollment date. Roommate Groups will have Group Leaders who are responsible for selecting room assignments for themselves and all of their group members during Room Selection.

Phase 3: Choose Your Room and Meal Plan

June 16 – 30

ROOM SELECTION: During their respective timeslots, students will return to their housing application and select their room assignment in their preferred[1] community. Roommate Groups will have Group Leaders who are responsible for selecting room assignments for themselves and all of their group members during Room Selection.

Students will see all available room spaces across all of our first-year residence halls at the time of their timeslot. Students in Signature Learning Communities and Gender Inclusive Housing will see all available room spaces within their community’s designated building and floor(s).

 

STORAGE LOCKERS: Students will have the opportunity to enter into the Ski/Storage/Bike Locker Lottery within their selected community (optional). Bike, storage, and ski lockers are limited and not available in all residential communities. Students will indicate their interest in the available lockers and will be notified at a later date of the locker offers.

MEAL PLANS: After students select their room assignment, they will select their meal plan. Students will be able to change their meal plans during the first week of each semester. Requests to change meal plans will not be granted outside of these periods.

HOUSING CONTRACT: Students’ housing assignments and meal plans are not confirmed[2] until students have signed their housing contract to complete their housing application. Students should review the housing contract with a trusted adult prior to signing. Once signed, the contract is legally binding, and students will be held to the terms and conditions stated therein.

[1] Housing preferences (e.g., specific residence hall, room type, and/or assignment with members of a Roommate Group) are NOT guaranteed within the self-selection process.

[2] The Department of Residence Life reserves the right to adjust housing assignments after assignments have been made to accommodate the room assignments of all residence hall students.

Important Dates

April 1

First-Year Housing Application opens in the Residence Life Housing Portal. The Housing Portal is linked in students’ my.mines.edu accounts.

May 1

Priority deadline for students seeking housing accommodations through Disability Support Services (DSS).

May 5 at 12:00pm

Signature Learning Community applications are due (optional)!

May 15

Signature Learning Community decisions will be sent to applicants via their Mines email.

May 19

Deadline to decline admission to Signature Learning Community for applicants who were offered placement in an SLC.

Deadline to begin the First-Year Housing Application.

June 10

Deadline to create Roommate Groups (optional) with intended roommate(s) to ensure that all members receive the same Room Selection Time Slot.

June 13

Room Selection timeslots are communicated to students via email.

June 16-30

Room Selection timeslots open and Room Selection begins.

June 30

Deadline to complete the First-Year Housing Application Process.

First-Year Housing Application

NCAA Student-Athletes
Students with Housing Accommodations

NCAA Student-Athletes and students with housing accommodations approved through Disability Support Services (DSS) follow a slightly different housing application process.

Room assignments and roommate pairings for Student-Athletes are coordinated by their coaches. Each coach identifies their community preference for where their athletes will reside and works with Residence Life to identify where and with whom their athletes will reside. Residence Life manually assigns student-athletes to their room assignments; student-athletes do not participate in Room Selection.

Room assignments for students with housing accommodations are made based on those accommodations approved through Disability Support Services (DSS). DSS notifies Residence Life of approved accommodations, and Residence Life will work with the student directly to ensure that they have a room assignment ahead of Room Selection. Students with housing accommodations do not typically participate in Room Selection, as we want to ensure that your housing accommodations are met first.

Phase 1: Introduction to Residence Life

Phase 2: Meal Plans and Housing Contracts

May 15 – June 30

In Phase 2, student-athletes and students with housing accommodations will receive their room assignments via email.

Student-athletes can expect to receive their housing assignments by May 15.

Students with housing accommodations can expect to receive their housing assignments within 5 business days of their accommodations being approved. Residence Life will book an initial assignment that reflects the approved housing accommodation; however, we will additionally connect with students to determine if the housing assignment is within the students’ preferred community.

Beginning on/after May 15, and after receiving their housing assignments, students will return to their Residence Halls application in the Housing Portal to select their meal plans and sign their housing contracts.

What about the Find Your Roommate phase?

Student-Athletes: Room assignments and roommate pairings for Student-Athletes are coordinated by their coaches. Student-Athletes will not participate in the Find Your Roommate phase of the application (Phase 2 of the general housing application process).

 

Students with Housing Accommodations: The majority of housing accommodations that Disability Support Services approves are single bedroom accommodations. In the majority of those room assignments, students with housing accommodations will not have a roommate.

If a DSS student does not have a single bedroom accommodation, Residence Life will work with them directly to provide instructions on how they will navigate the First-Year Housing Application timeline based on their housing accommodation in accordance with their preferred room type and/or roommate(s).

Similarly, if a DSS student has a single bedroom accommodation and is interested in our suite-style communities (Weaver Towers and Maple Hall), Residence Life will work with them directly to provide instructions on how they will navigate the First-Year Housing Application timeline based on their housing accommodation in accordance with their preferred room type and/or roommate(s).

Deadline for Student-Athletes to complete Phase 1 of the First-Year Housing application.

May 15 – June 10

Student-athletes and students with housing accommodations are notified of their room assignments via email. These students may then return to the Housing Portal to select their meal plans and sign their housing contracts.

June 30

Deadline for student-athletes and students with housing accommodations to select their meal plans and sign their housing contracts.

Housing Portal Log-In Issues

How to Access the Housing Portal

Students can access the Residence Life Housing Portal once their Admissions Enrollment Deposit is paid or waived and the transaction/waiver has been processed. Admissions Enrollment Deposits (or waivers) are typically processed within 2 business days.

  1. Log into your my.mines.edu account using your Mines credentials. Your Mines credentials consist of your username (which is the same as your Mines email) and Multi-Pass password.
  2. Once logged in, search for ‘Residence Life Housing Portal’ in the search bar at the top of the page.
  3. After clicking the link, you will land on the Housing Portal login page. Click the blue ‘MINES – STUDENT SSO LOGIN’ button at the bottom of the page.
  4. If you receive a login error, check the troubleshooting information below!

Common Portal Access Issues

If you are experiencing issues logging into the Housing Portal, please review the troubleshooting solutions below:

1. “I don’t have access to my my.mines.edu account.”

This might be the case if you have not yet paid the Admissions Enrollment Deposit, or your deposit has not been processed. If you paid the Admissions Enrollment Deposit more than 2 business days ago, please contact the Admissions Office. There may be still be outstanding tasks to be completed, or there may be a system error to be rectified. Please reach out to the Admissions team to inquire about your completion of the admissions requirements.

2. “When I try logging into the Housing Portal, I receive an error message.”

Please ensure that you are clicking on the ‘Mines – Student SSO’ button at the bottom of the page. If you still receive an error, check that popups are enabled on your browser and that your cache is cleared. If a login issue persists, please contact Residence Life via email (housing@mines.edu).

In the meantime...

If you are experiencing log-in issues, the good news is that there is no rush to start your housing application! The first phase of the application is available until May 19th, and when you begin your application has NO impact on when you will be able to self-select your housing in June. Applications are not processed on a first-come, first-serve basis.

While our office works to resolve your log-in issues (don’t forget to send us an email about your login issue!), here are some things that you can still work on!

Learn about our Residence Halls, room and board rates, and furniture/room dimensions!

Register with Disability Support Services if you need housing accommodations (priority deadline: May 1) for a documented disability or medical condition.

Consider Signature Learning Communities and begin drafting your responses to the application questions (due May 4).

  • The Signature Learning Community application is located within the housing application and is optional to apply! While you are waiting to receive access to the Housing Portal, you can get started on the application questions. Once you have access, you can copy/paste your responses into the SLC application! Easy peasy.
  • You may select up to 3 communities to apply for.
  • Question 1: Explain your connection with the theme associated with the Signature Learning Community(s) you selected. If you selected multiple communities, describe how you made ranking decisions.
  • Question 2: What do you hope to gain from participating in a Signature Learning Community? (3-5 sentences)
  • Question 3: What could other community members learn from you? (3-5 sentences)
